Your account starts with one person, the primary login. That is the email and password from signup. Add someone else when the business needs them on the account.
- A bookkeeper who should receive the invoices.
- A partner who should be able to pay them.
- A web person who should open a ticket and never see a bill.
- Someone you want listed so we know who to ask, even if they never sign in.
Only the primary account holder can add or remove people. Sign in at https://billing.getsimple.net, then open Contacts from the account menu.
You make two choices for each person. They are not the same choice.
What kind of person they are #
This is the contact type. It decides who gets invoice emails.
- Billing means this person should receive invoices. Use it for the inbox that pays the bill.
- Technical means they handle the site. They do not receive invoices.
- Decision Maker means they make the calls. They do not receive invoices.
- One Billing contact is enough to move the invoices. They go to every Billing contact, and they stop going to the primary login.
- No Billing contact means the invoices stay with the primary login.
- Two Billing contacts both get the invoice. Use that when the owner and the bookkeeper should both see it.
- Payment receipts still go to the primary login. A Billing contact does not get those.
Whether they can sign in #
This does not change who gets the invoices.
- Login off means they are on the account. A Billing contact still gets the invoice emails, but they cannot open the account.
- Login on means they sign in with their own email and a password you set, and you choose what they can see.
- A bookkeeper can get the invoices with no login.
- A technical person can sign in and open tickets without ever getting an invoice.
Add someone who should receive the invoices #
- Open Contacts and click Add Contact.
- Enter their name and email.
- Set the contact type to Billing. This is the choice that moves the invoices.
- Leave login off unless they also need to pay or download invoices themselves.
- Save. The next invoice goes to that inbox, not the primary inbox.
- To keep the primary inbox on the invoices too, that person also has to be a Billing contact.
Add someone who should not receive invoices #
- Open Contacts and click Add Contact.
- Enter their name and email.
- Set the contact type to Technical or Decision Maker. Either one keeps the invoices where they are.
- Leave login off if they only need to be listed.
- Save. They are on the account. They do not get invoice email, and they cannot sign in.
Let someone sign in #
- Edit the contact and turn on login.
- Set a password. They can change it after they sign in.
- Check only what they need. Invoices and payment accounts for the person who pays. Services and domains for the person who manages the site. Support tickets for the person who writes in.
- Save. They sign in at https://billing.getsimple.net with their email and that password.
- The checkboxes control what they see. The contact type still controls the invoices.
Change it later #
- Sign in as the primary, open Contacts, and select the person.
- Change the type if the wrong person is getting the invoices.
- Change the checkboxes if they can see too much, or not enough.
- Remove the contact if they should no longer be on the account. That ends their login. It does not cancel hosting, and it does not change the primary login.
- If you remove the only Billing contact, invoices go back to the primary login.
Not sure which type fits? Add them as Technical with no login. You can change the type after you decide.
